President Stephen Cade called the meeting to order at 1:30pm and club members reintroduced themselves. 29 members were present

Old Business

Site for State Meet - October 2001

  • Martha Cade provided the following information on Doubletree Hotel and Conference Center on NW 34th Street in Gainesville as a site for the state meet in October.

    1) The date of the meet would have to be changed to the first week of October because the 2nd and 4th weekends were booked and the 3rd weekend is the Super Chevy Show.

    2) The room rate is $79.00 a night and the club will not be charged for rooms not filled during the event.

    3) The club cannot bring its own food for the hospitality suite. It must be provided by the hotel. Doubletree brought down the original quote of $12.00 per person per day for continuous food to $10.00 per person per day. The cost or using the hospitality suite is $189.00 per day. The club could save this cost and utilize a conference room that could be set up as a hospitality suite for no charge.

    4) The banquet is buffet style and would cost $19.95 per person. The banquet room can be divided and sub-divided to suit our space needs.

    5) A/V equipment will be provided
  • Edith Fifer provided the following information for the Best Western on NW 39th Avenue in Gainesville

    1) The first and third weekends are still available for the event. The 2nd weekend is booked for a wedding.

    2) The hotel has paved and grass parking.

    3) The hotel would provide the food for the hospitality suite. Like the Doubletree, the club cannot bring its own food for this purpose.

    4) The hotel will not quote a rate until an exact count of participants is given. The room rate is set on a sliding scale -- the more rooms used the lower the rate. They did say the lowest rate they could go is $69.00 per night. The hotel would give one free room for every 10 rooms we guarantee.

    5) The buffet style dinner is $17.95 per person.

    6) A/V equipment will be provided
  • Roger Thelin moved that the decision on which hotel should be placed on Edith Fifer, Martha Cade & Danny Thomas. There was second - but the motion never went to vote.
  • After further discussion the club decided to vote on a location for the 2001 state meet. It was unanimous that the meet be held at the University of Florida Hotel & Conference Center/Doubletree Hotel the first weekend of October (5, 6, & 7th)

    New Business


    Ad for Turing Wheels
  • The ad for the state meet to be placed in Turning Wheels was discussed. We need to have the classes for the show in the ad as well as other information. The ad needs to go in as quickly as possible. Derwood Thompson moved that the club place a small ad in the TW magazine in the “What’s Happening “ section for now and begin work on a larger ad with more information to be placed in the April issue. The motion carried. Danny Thomas will place the asmall ad in Turning Wheels. President Stephen Cade mentioned that the Texas office could provide us with a list of all Florida members of the SDC.

    The club recessed for lunch at 2:00

    Club Shirts
  • Edith Fifer Provided information on club shirts. She said she has found a company that can make the shirts. They would be at least 50% cotton 50% polyester, collared with an embroidered logo. There is a one time $50.00 fee for digitizing the artwork. With a guarantee of a 30 shirt order the cost would be $17.95 per shirt. For embroidery on the sleeve there would be an additional $4.00 to $5.00 charge. The club further discussed placement of the club name and city -- on the sleeve or on the chest. It was decided that we would wait on a decision on club shirts until Edith checked at one more place suggested by Derwood Thompson

    Miscellaneous
  • A motion was made concerning the minutes of the meetings. If the minutes are printed in the newsletter, they will not be read during the meeting. Any changes to the minutes will be voiced -- otherwise the minutes will be accepted. Motion carried.

    Treasury Report

    Current Balance $xx.xx
    Expenses were to Robert Marsh for newsletter postage.

    Barrie Thelin noted that club currently has 73 members and some dues are still owed.

    Meeting Dates
  • The March meeting will be in Newberry at Stephen Cades with cookout organized by Jerry Fairchild. Also invited to this meeting will be the South Georgia Chapter of the SDC. The meeting will take place Saturday March 10th at 12:30pm
  • The April meeting in Mount Dora is not going to happen. Instead David & Jewel Lumpkins will host the meeting on Saturday April 7th at 2:00pm in Hernando
  • Meeting was adjourned at 2:35pm
